Exceptional Withdrawal Process
Students must have their completed application package submitted to the Care Services team within 150-days from the last day of the impacted semester. Final Exceptional Withdrawal decisions must be processed by the University by 180-days after the last day of the semester. Exceptional Withdrawals operate on a strict deadline based on policy from the U.S. Department of Education. No exceptions will be granted outside of the deadline window.

Getting Started

What do I need to do prior to pursuing an Exceptional Withdraw?
- Students are encouraged to speak with faculty members before exploring the Exceptional Withdrawal process to determine if other options are available.
- After exploring all academic options, students are encouraged to withdrawal from all courses for which they wish to pursue an Exceptional Withdrawal (though this is not required).
- Some other offices that should also be consulted prior to starting the Exceptional Withdrawal process are Academic Advising, Financial Aid, and Student Financial Services.
- Students should submit an Exceptional Withdrawal application FIRST and then provide additional documentation
- Remember to check your 成人大片email account often; you will be notified of any outcomes via your 成人大片email account.

What is required for the Exceptional Withdrawal Application?
- To be considered for an eexceptional withdrawal a student must be able to provide a letter from a licensed mental health provider for Psychological related withdrawals, or a licensed physician for physical illness withdrawals, that addresses the content outlined under Required Information/Documentation.
- It is highly recommended for students to discuss their situation with their doctor, their professors, and the the Dean of Students Office prior to submitting a medical withdrawal application.
- Once all of the steps above have been completed, you can submit the , making sure to include any of the documentation gathered in the steps above.

Required Information/Documentation
All documentation should be prepared on letterhead, typed, dated and signed. Please make sure the documentation includes the name, title, contact information, and professional credentials of the evaluator, and information below regarding the reasons for the Exceptional Withdrawal request.
If applying for an exceptional withdrawal for medical reasons, your provider needs to comment on the symptoms you had and the treatment you received during the semester of your Exceptional Withdrawal request. Exceptional Withdrawals for psychiatric/mental health reasons are to come from a licensed mental health professional (i.e., a psychiatrist, mental health counselor, psychologist, licensed clinical social worker, or nurse practitioner with certification in the area).
To the Medical Professional/Provider
Please address all the following information in your letter. Please specify what your patient experienced during the time period associated with their medical withdrawal.
- Patient’s full name and identification (DOB)
- Dates of onset of symptoms
- Diagnosis and/or severity of patient’s symptoms (if no diagnosis, please thoroughly explain patient's symptoms within impacted semester)
- Severity/impact of symptoms on their functioning (including their ability to function academically during the documented time) and the medical reason why the student could not finish the semester.
- This is one of the most important pieces of information and will assist us in making decisions to grant an Exceptional Withdrawal.
- Treatment received and dates of treatment.
- If applicable, are there any concerns/history regarding the patient’s safety/well-being and whether they are a danger to themselves or others.
- Recommendations for future treatment.
- If this is a chronic illness or the result of injury, have the health limitations been resolved? For example, are there any concerns that the student could have a reoccurrence or exacerbation of the illness if they return to classes?
- Recommendations regarding your patient’s return to school.
- Do you recommend a reduced course load or is your patient ready to return to a full course load?
- Do you recommend your patient to continue treatment when they return to school? What is the extent of that treatment?
- Do you recommend any educational accommodations upon your patient’s return?

Application Review

How long does the review process take?
Only completed medical withdrawals will be sent onto the Exceptional Withdrawal Committee (consisting of a Mental Health or Physical Health representative and an Academic/Student Affairs representative).
The Exceptional Withdrawal process may take approximately ten-to-twelve weeks to complete a full review. This process is initiated once applications that contain sufficient and appropriate information and documentation are received.

Outcomes

Approved
If your Exceptional Withdrawal is approved, our Office will notify Financial Aid, Student Financial Services, and University Registrar. These units will determine if any refund of tuition/fees will be issued to the original payor source or if additional funds are owed to the University and update the student’s official transcript.
A registration hold will be placed on the student’s account until the re-enrollment process is completed.

Denied
If your Exceptional Withdrawal is denied, we realize this decision might not be what you were expecting. Students are eligible to submit an appeal if they have new or additional relevant information to provide to the Committee. Appeal requirements and timeline are included within the student’s decision letter.

Closed
If you receive notification that your Exceptional Withdrawal case has been closed, this is due to an incomplete application package (i.e. missing application, missing formal documentation, and/or missing required details). Our Care Services staff will attempt to connect with students at least 3 times prior to the 150-day processing deadline.
Post Exceptional Withdrawal Process

What do I need to do after my Exceptional Withdrawal is approved?
We encourage students to be thoughtful in their time away from campus and to work on resolving the situation that necessitated the Exceptional Withdrawal prior to their return. Students who are registered for future courses, not included within the Exceptional Withdrawal application, will remain fee and grade liable for those courses.
All students who have been approved for an Exceptional Withdrawal are REQUIRED to complete the Post Exceptional Withdrawal process. If possible, students should initiate the re-enrollment process prior to returning to coursework and complete the process fully within the first semester back.
